No. They scan the QR code, or open their personal link, and can add KLOKUP to their home screen in one tap: it opens like an app, without an app store. From there, even at home, they see their hours, schedule and leave, and send their requests with their PIN.
About 10 minutes: create your account, add your team (one by one or by pasting a list), print the QR poster and stick it at the entrance. Each employee receives their PIN and personal link by WhatsApp, text or email.
Yes. In Team, tap Import and drop an Excel, OpenDocument, CSV, PDF, vCard or JSON file, take a photo of a printed list (even a scanned PDF), paste a list, or pick from your phone's contacts. KLOKUP recognizes the columns (name, role, phone, email, hourly rate, hire date), flags people already in KLOKUP, and you check everything before importing. Text read from a photo stays on your device, and you can fix any cell. Each person gets a PIN and a personal link.
KLOKUP works in every country. Pick your time zone once and every clock-in is recorded in local time. All it needs is a phone with a camera and an internet connection.
Everything comes in English, French, Spanish, Portuguese and Haitian Creole: the clock-in screen, the employee space, the emails and your dashboard. Set a language for each employee in Team; they can also switch on the clock-in screen.
Not if you turn on the GPS zone. Employees can open their space from home to see their hours or schedule, but a clock-in is checked against the phone's position at that moment: attempts from too far away are refused and shown to you. Without a GPS zone, KLOKUP does not check where people clock in.
It doesn't work. A phone is linked to the first employee who clocks in with it, so a colleague can't clock in for someone else on their own phone: the attempt is refused and shown to you with the phone's IP address. Each person also has a private PIN you can change in one tap.
The employee gets an email reminder after their shift. If they still forget, KLOKUP clocks them out automatically (12 hours by default) and flags the day. They can also report the right time from the clock-in page, and you approve it in one tap. Every correction is kept with the reason.
Yes. Open the clock-in link on a tablet left at the counter and turn off “One phone per person” in Settings. Everyone clocks in on it with their own PIN.
Yes. Build the week in a grid, copy last week, then publish. Each employee sees their shifts on the clock-in page and can take open shifts. Late arrivals and early departures are counted from each person's shift.
Employees report an absence from their phone. You see who else is off those days and their balance before you approve. Set the vacation, sick and personal days per year (earned yearly or monthly) and adjust anyone's balance by hand.
Yes. Set overtime after X hours a day or a week, the overtime rate, rounding and an automatic unpaid break. Add an hourly rate per person and KLOKUP shows the labor cost and gives you a payroll export (CSV) for your accountant or payroll software.
In Timesheets, check the week, then tap Approve the week. It is locked: nobody can change a clock-in in it, and employees can no longer report a missed clock-in for it. Export the payroll CSV. If you need a change later, reopen the week.
Yes. In Account, invite your HR person or a supervisor by email. They get their own login and can approve, fix and export. The plan stays yours, and every change is recorded under the name of who made it.
To you: absence requests, missed clock-ins reported, someone not in at the start of their shift, automatic clock-outs. To employees with an email in their profile: a welcome email with their personal link, a reminder before each shift, a note if they are still clocked in after their shift, answers to their requests and their hours every Monday. You turn each group on or off in Settings.

No. Only active employees count toward your plan. Archive someone who left: their history stays, and their place is free.
Yes. In Plan, switch to a bigger or smaller plan, or between monthly and yearly, in one tap: you pay or get credited only the difference, prorated to the day. If you cancel, your plan stays active until the end of the period you paid for, then your account goes back to Free. Your timesheets and history stay with you.
Your data is stored privately. Only you and the managers you invite can see your team's data; each employee sees only their own, with their PIN. Locations are recorded only at the moment someone clocks in, never in the background. Every correction is kept in a history with who made it and why.
